Procedures for Howard Middle School PTO Payment Request 

GENERAL

• Know your budget.
• If you do not know your budget, before spending any PTO funds, speak with either the PTO President, your committee's board member, or the PTO Treasurer.
• Reimbursement requests should be submitted no later than 30 days past the date on your receipt.
• The PTO’s fiscal year is from June 1st through May 31st. All reimbursements for the fiscal year are due no later than June 15. We cannot carry over expenses.

PAYMENT REQUESTS

• Timing - Submit all check requests (requests to pay a vendor or for reimbursement) as soon as possible. Please expect a 7-14 day turnaround for checks due to review and time needed to obtain 2 required signatures.
• Budget - If you are spending less than $500 and you are within your budget, you can incur the expense and then submit your check request.  If you are spending more than $500, or are not within your budget, email President@dthowardmiddleschool.org and cc Treasurer@dthowardmiddleschool.org  for pre-approval before incurring any expense or submitting the check request form. 
• Form - Submit the Howard Middle School PTO Check Request Form to request PTO payment (via check) to a vendor, or reimbursement for yourself. After submitting this form, the PTO President and Treasurer must approve the request before making any payments. When submitting the Howard Middle School PTO Check Request Form you will:
  • Include who the check should be made out to, and where the check should be mailed
  • Upload either an invoice to a vendor or a receipt showing payment has been made for reimbursements
    • Invoices to vendors must include the vendor's name, address, and invoice number.

    • Receipts must include proof of payment, preferably showing a balance due of $0.00.

TAXES

• The Howard PTO is classified as a public charity and has 501(c)(3) non-profit status. Our tax ID number is 20-3574169.
